At Birdforth Hall Holiday Cottages we respect your privacy and we aim to comply with the latest data protection regulations.  This policy explains how we collect and handle your data relating to website visitors.  Please note that this policy may be altered in the future.  It was last updated 12.08.22.

  • We collect Information from Personal Information you provide. This information may be collected when you:
  • Make a booking online.
  • Enter a competition
  • Sign up to our mailing list.

Anonymous data (relating to your computer/device, not to you personally) is also collected whenever someone merely visits one of our web pages.  This uses Google Analytics service, and it involves the use of cookies.

The type of information we collect from you may include your name, email address, phone number, postal address and account password.

We may ask for information such as the names and ages of guests in your party, some of whom may be under 18.  If you provide us with information for anybody under the age of 18, you will be asked to confirm that you are their parent or guardian and you agree to us handling their personal details.

  • How we use your Information

Our main purpose for collecting your personal information is to provide you with the services you requested and those which we believe will improve your experience with us. When we use (process) personal data we will comply with the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018.

  • To fulfil a Contract

When you use our service, for example booking a holiday, we will need you to supply us with specific information to fulfil a contract or related contract.  If you refuse to supply part or all of this information, we may not be able to fulfil these contracts.

  • Marketing Communications and Advertising

We may communicate with you about our last minute deals, promotions and news.

  • Accounts

Some data will also be used for internal record keeping (e.g for the account that we are legally obliged to maintain)

You can edit the name, phone number, postal address and email address by contacting us.

  • The Security of Your Information

When details such as your name and email address are submitted via a contact form or email, this can never be guaranteed to be 100% secure.  As a result, whilst we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk.  Once we receive your information, we make our best effort to ensure its security on our systems.

  • Payment Services

We provide an online service that allows you to pay for your booking using your credit card details or debit card details.  We do not store or process credit card details or debit card details on any of our systems; instead we use Stripe/Holiday Rent Payments, which is a secure online payment gateway to process credit car and debit card payments on our behalf.

  • Your Rights

You have the right to ask us to provide you with the personal information we may hold for you and what we are using this information for.  This is known as a “Subject Acce ss Request”.  You also have the right to request that we delete your personal information.  Upon receipt of such request’s, we will endeavour to respond to you as soon as possible, but at least within one month.

If you believe the personal information we hold for you is incorrect, please let us know and we will rectify this as soon as possible.

  • Your data

The security of your data is important to us – we will not share or transfer your personal data to other third parties for their own purpose. We will only share personal data to comply with a legal obligation or where is necessary to communicate with you.
Reasons may include but are not limited to:

  • Carrying out marketing communications including mail fulfilment and email marketing. Any personal data we share with agencies will be sent securely using data encryption tools and securely deleted immediately after use. We provide only the information they need to perform their fulfilment or marketing service and they may use it for this exact purpose only.
  • Suppliers who provide any customer database software we use. Any personal data we share with them is stored via their encrypted software platforms.
